1. Get it in Writing. All fees, agreements, and other terms should be written down. This is including who should pay for workbooks, pens, pencils, and every other detail of the event. This is a major step in your professional speakinging career. Then ensure that your speaker’s bureau is informed of all changes to your obligations.
2. There are two types of luggage, carry-on and lost. Pack what you absolutely must have as a carry-on. Bring all props with you. The meeting planner has thousands of details to attend to. Don’t ask for difficult or hard to get props.
3. Work with the meeting planner to prepare the most effective seating chart possible. Bring copies to give to the hotel, and whoever else has a part in setting up the venue. Let the planner and caterer know that it is not effective to have the staff clearing tables during your presentation.
4. Arrive as early as possible, and inform the planner as soon as you do. Do everything possible not to add to the stress of the event planner.
5. Send a copy of your introduction in advance. Also bring a copy because the introducer normally forgets the copy you emailed. (14pt, double space, and ½ page)
6. Ship your materials in advance. It is cost effective to use two or three day shipping. Ship it to the hotel. Coordinate this with the hotel to ensure there are no problems.
7. The most important people are in the audience. Prepare your presentation for them. Communication is not what you say or how you say it, it is how it is received by the other person. Every detail is for them. Work with the meeting planner so that the audience is prepared for you. Ensure that they have had a bathroom break, or whatever else they need to be the most attentive.
